The reports were never missing. They were scattered across five tools, and someone had to go and find them while fifteen people watched.
Turned meeting prep from an hour of exporting into opening a folder
Construction runs on meetings: daily huddles, weekly progress reviews, monthly client reports. Every one needs the same thing, the current picture on a screen. But that picture lived across Autodesk, Power BI, Excel, shared drive PDFs, and links buried in email. I designed the module that holds all of it in one library, with real permissions and a presentation mode built in. Sole designer on the project.
Problem
Five tools, five logins, and a person alt-tabbing between windows in front of a room.
Assembling a weekly pack meant exporting from every tool and pasting into slides, so half the numbers were stale before the meeting began. Nobody could be certain they were looking at the current version, and in construction that is not a filing annoyance, because decisions about crews and materials get made in those rooms. A shared drive also has no middle setting. Commercial data, subcontractor performance, and someone's personal working notes all sat at the same level of exposure, controlled by folder naming and good manners.
Solution
One library where a report can be a file, a link, or a live view of the project.
The report object is content-agnostic: PDFs, documents, images, plain links with preview, Autodesk links, embedded Power BI dashboards, and saved configurations of VisiLean's own Takt, Gantt, table, and scheduler views. That last type changes what the module is. A saved configuration is not a snapshot. Set a 6-month scale, filter to one trade or one person, save it, and it stays correct as the project moves. Everything else in the library is a document. These are windows. Folders nest to any depth, and anything can carry a cover image, because a wall of identical dashboard icons is unreadable when a room is waiting.
Concept
The folder you organised during the week is the deck.
Visibility runs at three levels: global for the company standard published from head office, public for the project team, private for the individual. On top of that sits role-based access, so commercial material can be scoped to project admins alone. I kept those as two separate controls rather than one merged list, because they answer different questions: how widely does this belong, and who is allowed to open it. Meeting mode then takes a report or a folder full screen, leaving forward and back, a home control, and a jumper in the centre. Construction meetings do not run in a straight line, so when someone asks about the fourth floor, the room gets the fourth floor immediately.
